We have an exciting opportunity within NHS Supply Chain for a business administrative coordinator to join the Commercial team. As a business administrative coordinator, you will provide direct support to the Business Manager and as required the wider Corporate Team in their achievement of key objectives.

 

 

What does a do at NHS Supply Chain?

 

  • Support reporting systems monitor progress under the direction of the Business Manager and identify issues requiring intervention to ensure that objectives are delivered on time.
  • Provide the timely delivery of appropriate communication i.e. telephone call, face to face, accurate and professional communication and reduce the risks of escalation.
  • Maintain an up-to-date digital filing system in conjunction with other members of the Corporate Team so that details are accurate and easily available in order to produce information as required.
  • Contribute to smooth running of the team by paying close attention to the sharing of information and linking with corporate administrative colleagues to manage office systems.
  • Support the development and maintain operational, procurement and record-keeping systems for efficient performance and audit records of SLA, contracts and agreements.
  • Support project management on the management of SLAs, contracts and arrangements that may vary in number and complexity.
  • Attend and contribute to regular progress reviews and prioritise where necessary.
  • Provide the Business Manager with support in relation to regular reporting.
  • Work with the Business Manager to develop appropriate agendas, collation of reports, management and on time delivery of action logs and delivery of robust minutes for our internal meetings.
  • Manage self and time to enable prioritisation of work across a wide variety of work areas.

 

What skills, qualifications and qualities do I need to be successful?

 

  • Relevant and proven experience in a similar role.
  • First class administrator with experience of supporting teams, up to Senior Management level.
  • Effective communication skills.
  • Able to multitask
  • Strong IT skills with a good knowledge of Microsoft applications including Excel, PowerPoint and Word.
  • Stakeholder management.
  • Excellent written and oral skills 
  • Capable of responding positively to pressure and demanding deadlines.
  • Familiar with analysing data, spotting anomalies, and with an exceptional eye for detail and accuracy.
  • Managing diaries, appointments, and meetings.  
  • To service meetings by preparing notes / agendas and taking minutes as and when required.
  • Ensuring the timely development and circulation of agendas and supporting papers.
  • Experience of supporting projects or programme management.
