Improved Reporting Capability to Assist Demand Management Planning

From Thursday 1 August 2024, your trust will start receiving a new set of reports to give you better visibility of the impact of demand management on any orders. These reports will be released in two phases, the first phase will provide information on products that have been intervened on, phase two will provide transparency around thresholds.

Why are we doing this?

At the Resilience Steering Group, we identified the need for improved reporting to reduce uncertainty when ordering demand managed products. This will allow you to plan more effectively for the impact of any demand management thresholds being applied.

What are we doing?

We are going to produce four new automated reports which will contain a range of detail including information on daily thresholds, order interventions, products on demand management, available alternative products and links to the relevant ICN.

When will customers receive these reports?

Each day, your trust will receive the following reports by 10am.

Phase 1 – from August 2024

  • DM-008 Daily Interventions Report – provides a summary of all order interventions for the previous day, plus a link to the relevant ICN which includes a list of alternative products.
  • DM-009 Protect Order Report – provides a summary of all orders placed for demand managed products for the previous day including which requisition points have received the available stock and how much. Highlights who in the trust is receiving stock and who is regularly receiving demand interventions, to enable better purchasing patterns. 
  • NHS Supply Chain Demand Management Order Report, also known as a ‘TX notification’, which provides an on-the-day summary of how much stock will be delivered on that order for products subject to demand management.

Phase 2 – by the end of 2024

  • DM-007 Proactive Threshold Report – provides the thresholds of products subject to demand management for the coming day, with a link to the relevant ICN.
  • DM-008 and DM-009 will include additional information on thresholds.

Who will receive these reports?

  • People who currently receive the order intervention reports and threshold level email notification reports (sent from the CSCOV19 inbox) will receive the DM-007, DM-008 and DM-009 reports.
  • TX demand management notifications will be sent to trusts who already receive this type of notification. Customers need to sign up to receive the TX notification by contacting Customer Services.
  • To change who receives these reports, please speak to Customer Services. Please note, following the initial launch of the reports, changes cannot be made for an initial 28-day period.

What does this mean for you?

  • Interventions will not be made on products without you being aware of them.
  • You will be able to predict the impact of those interventions, empowering you to take earlier action to mitigate risks.

Frequently Asked Questions

Why are you ‘demand managing’ products?

Demand management may be used by NHS Supply Chain when a product is subject to short supply i.e. demand outstrips supply, to allow NHS trusts continued access to critical products, albeit it in reduced quantities, until normal supply can be restored. Any decision to change the demand management status of a product (upgrade/downgrade) is reviewed and signed off by the Supply Management Oversight Group (SMOG).

What if I need more of a product that has been reduced by demand management?

You can request more product by submitting a ‘Protect Escalation’ form through your Customer Service Advisor, clearly stating the reason for the additional quantity needed.

How are thresholds calculated for my trust?

The thresholds are calculated each day based on available stock, customer usage and inbound schedules, and confidence in the supplier’s ability to replenish our stock levels.

Can you increase my threshold on a specific product?

Threshold calculations are designed to maintain supply of products in short supply to all relevant NHS customers. Should you require additional product then you need to submit a ‘Protect Escalation’ form through your Customer Service Advisor.

What if I require another member of my team to receive the demand management notifications and reports?

Contact your Customer Service Advisor with the details and they will organise this for you.

What if I want to remove myself from the distribution list?

Please contact your Customer Service Advisor with the request and you will be informed when you have been removed from the distribution list. This functionality is currently being built within the system so it may take a couple of weeks to implement.
